Abercorn's 40-Love Campaign

CAMPAIGN PRIVACY NOTICE

This notice explains how your personal information is handled when you support the court resurfacing campaign. It sits alongside the club's general data protection information.

WHO IS RESPONSIBLE

Abercorn Sports Club, a Community Amateur Sports Club, is the data controller for information collected through this campaign site. You can contact us about anything in this notice at 40love@abercornsportsclub.co.uk.

WHAT WE COLLECT

  • Your name, email address and, if you choose to give it, a phone number.
  • What you are supporting: a donation amount, or a membership category and prepayment term, plus any top-up donation.
  • If — and only if — you make a Gift Aid declaration: your home address and postcode, the declaration itself and the date you made it. These are required by HMRC. If you do not claim Gift Aid, we do not ask for your address.
  • A short campaign reference (for example 40LAB3) so we can match your bank transfer to your pledge, and the date and amount received once your transfer arrives.

WHY WE USE IT

To administer your contribution, to match incoming bank transfers, to apply your membership prepayment, and to claim Gift Aid from HMRC where you have declared it. Our lawful bases are legitimate interests (administering the campaign), contract (membership prepayments) and legal obligation (Gift Aid records).

WHERE IT IS STORED

Contribution records are held in the campaign's secure database, accessible only to authorised club administrators. A copy of each contribution is written to a private Google Sheet used by club volunteers for bank reconciliation and Gift Aid claims; that sheet is restricted to named club accounts. Google acts as a processor for that storage.

We never publish individual supporter details. The public progress figures on this site are totals only.

HOW LONG WE KEEP IT

Gift Aid declarations and the contribution records supporting them are kept for six years after the end of the tax year they relate to, as HMRC requires. Membership prepayment records are kept for the length of the prepaid term plus six years. Contribution records with no Gift Aid or membership element are kept for six years for accounting purposes, then deleted.

YOUR RIGHTS

You can ask for a copy of the information we hold about you, ask us to correct it, object to how we use it, or ask us to delete it — although we cannot delete records we are legally required to keep for Gift Aid or accounting. You can cancel a Gift Aid declaration at any time by emailing us. If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office (ico.org.uk).

PAYMENTS

Contributions are made by bank transfer directly to the club's account. This site does not take card payments and does not collect or store any card details.
